Client stories from the appointment floor
Notes from salon principals, clinic directors, and studio owners who asked us into their waiting rooms and diaries.
“They sat through a full Tuesday of colour appointments and spotted that our confirmation texts were arriving after clients had already cancelled. Fixing that alone calmed the week. The brief also called out our coat-hook bottleneck — small, but we had stopped seeing it.”
Mara Ellison · Salon principal · Edinburgh · Customer Experience Audit
“I was sceptical about another consultant in the waiting room. They were quiet, took notes on how we call next patients, and the brief afterwards was useful — though I wish we had scheduled a second day for the physio wing. One day was not enough for that corridor.”
Dr. Helen Okoro · Private clinic director · Manchester · Customer Experience Audit
“The journey workshop forced us to admit that ‘just squeeze them in’ was our unofficial policy. Drawing the afternoon on paper made the overtime visible. We left with three trials, not twenty ideas.”
Jon Park · Therapy studio co-owner · Bristol · Appointment Journey Workshop
“Front-desk coaching helped our newest receptionist handle late arrivals without sounding apologetic for rules she did not write. I still coach the clinical handoffs myself; they stayed in their lane.”
Priya Nair · Veterinary practice manager · Leeds · Front-Desk Experience Coaching
Extended story: Saturday colour bar, Glasgow
A four-chair colour salon asked for help after Saturday rebooking slipped for three months. Observation showed that stylists were finishing consultations at the basin while reception chased card payments at the door — clients left before a next date was offered.
Together we moved payment to chair-side tablets already owned by the salon, and gave reception a two-question rebooking prompt once colour processing began. Over eight weeks, same-day next bookings for returning colour clients rose enough that the owner cancelled a planned extra Saturday shift. The change was operational, not promotional.
Extended story: Morning clinic triage, Cardiff
A private outpatient clinic felt that 9 a.m. clinics always ran late. The audit found that early patients arrived without completed forms, and nurses were finishing paperwork in the corridor. We redesigned the confirmation email to request forms the evening before, and moved a clipboard station nearer the entrance with clearer signage.
Late starts did not vanish — parking still delayed some arrivals — but the nursing team regained the first ten minutes of each clinic slot for clinical prep rather than admin catch-up.
