Customer Experience Audit for Appointment Practices

Who this is for

Owners and managers of appointment-led businesses who sense that the diary is full yet the day still feels chaotic — late arrivals stacking up, reception interrupting clinicians, or first-time clients who never book a second visit. You do not need a large operations team; you need a clear reading of how the appointment day actually lands for clients and staff.

Result you can expect

You receive a written findings brief that names the friction points in booking, arrival, in-room time, checkout, and follow-up, ranked by impact on calm days and client return. The brief is specific to your rooms, your booking rules, and your staffing pattern — not a generic checklist.

Scope

Included

  • Prep call to understand your diary types, peak days, and known pain points
  • Two days of quiet observation during live appointment hours (or one day for single-room practices by agreement)
  • Review of confirmation, reminder, and cancellation wording you already use
  • Interview with the person who owns the front desk or phone
  • Working session (90 minutes) to walk through findings with your leadership
  • Written brief with a prioritised change list and suggested owners for each item

Excluded

  • Hiring or rostering staff on your behalf
  • Redesign of clinical or treatment protocols
  • Ongoing weekly operations support (available separately as a programme)
  • Brand or interior design work

Provider

Led by a SystemFabric consulting partner experienced with UK appointment-led settings. Observation stays respectful of client privacy; we never enter treatment rooms without your consent and we do not record conversations.

Process

  1. Discovery call — confirm fit, site, and dates that reflect a normal busy week.
  2. Prep pack — you share sample booking templates, opening hours, and any house rules for late arrivals.
  3. Observation days — we sit where reception and waiting areas tell the truth of the day.
  4. Working session — findings discussed while still fresh.
  5. Brief delivery — written document within ten working days of the session.

Duration & timeline

From signed agreement to brief delivery typically spans three to five weeks, depending on how quickly observation days can be placed in your calendar.

Location & delivery

We travel to your practice in the United Kingdom. For multi-site groups, each site is scoped separately. Prep and follow-up calls may be remote.

Preparation

Please nominate a host for the observation days, alert your team that a consultant will be present, and choose days that include both peak and quieter slots. We ask you not to stage a “perfect” day — ordinary friction is the point.

Constraints

We work with practices that can host an observer in public-facing areas. Clinical confidentiality rules always take priority; if a day becomes unsuitable, we reschedule the unused portion.

Pricing basis

From £2,400 for a single-site practice with one main diary. Larger multi-room clinics and multi-site groups receive a written estimate after the discovery call. Travel beyond mainland Scotland and England may add expenses, disclosed before you confirm.

Next step

Request a discovery call and tell us your practice type, city, and the appointment moments that already worry you.
